GUIDE / AGENTIC AI

What is agentic AI?

A plain-English guide for business owners: what AI agents actually are, how they differ from chatbots, and what it takes to put one to work safely.

01 — THE DEFINITION

The definition.

Agentic AI is software that takes a goal, breaks it into steps, does the work across your business tools, and checks the result — end to end, with a person approving anything consequential. Instead of answering questions, an agent completes the whole job: gathering inputs, acting across systems and reporting back.

The practical difference is simple: a chatbot gives you an answer; an agent gives you the finished job. You don't sit and prompt it — you hand over a task the way you'd hand it to a capable colleague, and it comes back done, with a record of what happened and why.

Under the hood, an agent leans on large language models to read and write, and on machine learning when the job involves prediction. The agentic layer is what strings those capabilities into finished work across your actual systems.

02 — HOW IT WORKS

How an AI agent actually works.

It starts from a goal, not a prompt

You define the job once — "chase overdue invoices", "triage the shared inbox", "assemble the weekly report" — along with what a good result looks like. That definition is the agent's brief.

It plans and does the steps

The agent breaks the job into steps and works through them using the tools you've connected: email, documents, spreadsheets, your CRM, and effectively any service with an API.

It's grounded in your data

A well-built agent acts on your real picture — your documents, your records, your rules — not on guesses from the open internet. That grounding is most of the engineering, and it's what makes the output trustworthy.

It checks its own work

Before anything leaves the building, the agent verifies the result against the brief. Work that doesn't pass gets redone or escalated to a person.

A person approves what matters

For anything consequential — money moving, a message reaching a customer — the agent proposes and you approve. The approval gate is designed in from day one, not bolted on.

03 — WHAT SMES USE AGENTS FOR

What SMEs actually use agents for.

These are illustrations of the shape, not a fixed menu — each agent is built around a job your business already repeats.

Inbox and enquiry triage

Reading what comes in, drafting the reply, routing what needs a human — so the inbox stops being a job in itself.

Document processing

Invoices, contracts and forms read, checked and entered into your systems, with exceptions flagged for a person.

Lead generation and follow-up

Finding prospects that match your profile, drafting the outreach, and keeping the follow-up cadence going — with you approving what's sent.

Report and pack assembly

The weekly numbers pulled, checked and formatted into the pack your team reads — before anyone asks for it.

A job is agent-shaped when it repeats, has clear inputs and outputs, follows rules a person could write down, and anything consequential can sit behind an approval. If that sounds like something on your plate, it's probably worth a conversation.

04 — FAQ

Frequently asked questions

Is agentic AI safe for a small business?

Yes, when it's built with the right guardrails. A well-designed agent only touches the tools it's been given, keeps a log of everything it does, and puts every consequential action behind a human approval. Nothing irreversible happens without a yes.

How long does it take to get an agent working?

A working first version typically ships in weeks. Agents start narrow — one job, done reliably — and expand as trust builds, rather than trying to automate everything on day one.

What data does an agent need?

Whatever the job already touches: the inbox, the documents, the spreadsheet, the CRM. The agent is grounded in that material so it acts on your real picture, and it runs in your environment — your own cloud account or a private on-premise appliance.

What's the difference between agentic AI and automation?

Classic automation follows fixed rules and breaks the moment reality varies. An agent handles variation and judgement within limits you set — and escalates to a person when it isn't sure, instead of guessing.

Do we need our own AI team to run an agent?

No. We design, build, deploy and run the agent for you, and train your team to use it. There's nothing technical to maintain in-house unless you want the handover.
